PRIMARY FUNCTION: Donor prospect research, research report preparation, research data management

SKILLS LEARNED: Hands on experience in researching donor prospects and building cultivation strategies with the development team.

Internship Responsibilities

  • Under the mentorship of the Data Development Manager, learn how to research and identify prospective donors for our annual gifts, project support, and campaign gifts.
  • Help identify donor interest with program support and strategize with the development team on the approach.

Retail Sales and Boutique Associate

We are seeking a dedicated individual for a seasonal position running from October 21st to December 28th. The role offers a flexible schedule with 20-30 hours per week; however, due to the nature of the work, availability for evenings and weekends will be required during the month of December.


Reports to: Manager of Retail Sales and Boutique

Job Purpose: Under the direction of the Boutique Manager, coordinates retail sales activities for the company. This includes sales to the public at performances, online, offsite, and to Academy families. The Retail Sales and Boutique Associate assists in developing, selecting, and purchasing merchandise which reflects the Ballet West brand and maximizes profit in support of Ballet West programs and activities.

Duties and Responsibilities: 

  • Processes and fulfills web, phone, walk-up, and inter-office orders.
  • Assists in the management of The Boutique at Ballet West during performances, to include re-stocking between performances.
  • Receives shipments, inputs product data, and assists with the tagging of merchandise.
  • Effectively help with training volunteers to provide exemplary customer service to Boutique customers
  • Assists with Inventory Control.
  • Establishes and maintains effective relationships with customers, vendors, employees, volunteers, and others by building rapport, listening to their needs and being approachable.

Qualifications:

  • Experience in retail sales, customer relations, and strong computer skills are required.
  • Ability to solve practical problems and interpret instructions written and orally.
  • Ability to work within Windows environment, specifically Word and Excel, is required.

Duties and Responsibilities: 

Now in our 61st season, we are poised to take on an ambitious slate of artistic programming, to expand our educational resources that reach a broader community, while prioritizing vital investment in infrastructure.

 

The role of the Visual Coordinator is to support the visual brand of Ballet West through videography and photography. This position will work closely with the teams in marketing, development, community outreach, and the Frederick Quinney Lawson Ballet West Academy. Work location will vary based on the project; specific work hours (time of day) may vary. Responsibilities include, but are not limited to:

  • Promotional video creation for season and individual productions.
  • Television spots for each production, as budgeted for.
  • Video for grant submissions and sponsors
  • Photos and video of rehearsals, including guests for promotional use.
  • Various Photo and Video requests as needed, for promotions and events, including, but not limited to: merchandise, Nutcracker Magic, the annual Spring Soiree, and various other development events.
  • Various Photo and Video requests as needed by the Ballet West Academy, including, but not limited to academy performances, showcases, classes, students, and the summer intensive.
  • Fielding requests for photos and video distributed to media and other outside organizations.

Ballet West Stitcher

Department:  Production

 

Reports to:     Director of Costume Production, and the Costume Shop Manager

 

FLSA Status:    Non-Exempt

 

SUMMARY:

The Stitcher shall be tasked primarily with building, altering and repairing costumes for the Ballet West Costume Shop.  The ideal candidate will be able to take direction and work well as a team player, as well as communicate clearly and effectively with other team members.  Previous work experience as a Stitcher, and knowledge of proper garment construction & finishing techniques is required.

 

 ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Follow costume build instructions as directed.
  • Perform alterations and repairs as directed.
  • Operate a variety of sewing machine including industrial single needle, zig-zag, overlock, Merrow, and coverstitch machines.
  • Ironing, and pressing of yardage of fabrics.
  • Perform various costume crafts based on skill set.
  • Communicate questions or concerns directly and clearly with other team members and offer possible solutions.

 

POSITION COMPETENCIES:

Administrative Assistant

Reports to: Executive Director

Position Summary: The Administrative Assistant provides critical administrative support primarily for the Executive Director while also assisting the Senior Director of External Affairs and the Director of Human Resources. The position requires a high level of organizational and communication skills, patience, flexibility, and ability to work calmly under pressure.

Duties and Responsibilities: 

  • Provide administrative support to the Executive Director, including but not limited to answering phones, filing and managing paperwork, coordinating meetings, preparing reports and other confidential materials, arranging travel and hotel accommodations, and managing expense reports

  • Provide administrative support to the Director of Human Resources and Senior Director of External Affairs

  • Manage inventory of office supplies and manage cleaning schedules for the organization’s various facilities

  • Manage correspondence and communications on behalf of the Executive Director including conducting research and information gathering, and drafting correspondence and documents

  • Represent the office of the Executive Director on the phone, in writing and in person at Ballet West events.

  • Perform other administrative duties and projects as assigned

Working Conditions:

Wardrobe Supervisor

Reports to: Director of Production

Position Summary: Coordinate wardrobe staff, including Ballet West Wardrobe Assistant and I.A.T.S.E. local stage hands in daily operation of Ballet West shop/warehouse, loading in and out of performance venues and running of performances. Oversee wardrobe crew when in performance.

Duties and Responsibilities: 

  • Organizes and supervises the load-in, load out, set-ups and run of show for all wardrobe elements of all Ballet West productions.
  • Creates, maintains, and implements inventory and schedules including children’s fittings if necessary.
  • During performance, supervises the wardrobe crew.
  • Prepares all wardrobe related items in the shop.
  • Creates all lists for run of show planning.
  • Supervises the shipping and receiving of rented costumes.
  • Supervises the return of costumes to the shop, including cleaning and repair of costumes.

Additional Duties and Responsibilities:

  • Maintains an organized Wardrobe shop and storage area shop.
  • Assist Director of Production in preparation of wardrobe calls and layout for all performing venues.
  • Assist Director of Production in preparation of wardrobe related budget items.
  • Maintains inventory and manifests of costume elements for all productions.

Supervisory Responsibilities:

Directly supervises Ballet West Wardrobe Assistant.
Directly supervises all local union wardrobe persons including dressers and laundry persons.

  • Ability to work within the Windows environment, specifically, Word, Excel, and Outlook

Touring/Time Off/Vacation:

The employee may be required to tour with the Company and travel intermittently throughout the year. Time off and vacations, in accordance with Ballet West’s Personnel Policies and procedures must be approved by the Executive Director and Director of Production, and will be subject to the Company’s performance, touring and rehearsal schedules.

Manager of Special Events and Benefits

Reports to: Director, Major Gifts and Corporate Sponsorships

Duties and Responsibilities: The Manager of Special Events and Benefits will join a vibrant fundraising team who collectively work to amplify the mission, vision, and values of Ballet West. This role will help to provide a clear channel of communication and connection between Ballet West and the philanthropic community via benefit fulfilment, curated community events, and our annual major fundraiser.

The ideal candidate values team camaraderie has a high attention to details and enjoys crafting customer experiences that excite and inspire.

Key responsibilities include:

  • Development Special Events
    - Under the strategic leadership of the Senior Director, External Affairs, implement all annual fundraising events (which currently include the Spring Soirée, Beer & Ballet, and Nutcracker Magic);
    - Design, deliver and process all invitations and RSVPs.
    - Coordinate with all vendors and stakeholders (external and internal).
    - Work within an allotted time and expense budget.
    - Conduct evaluation post-event.
    - Achieve specified revenue goals.
    - Execute department-wide stewardship efforts, partnering with the Director, Major Gifts and Corporate Sponsorships.
    - Schedule, train and direct a team of event staff and volunteers during Development events.
    - Identify in-kind partners as they relate to special events: venues, food and beverage, flowers, décor, etc.
    - Work closely with the Marketing Department to ensure appropriate material(s) are produced for events on-time and within budget.
     
  • Supports Domestic and International Donor Tours
    - Work with Senior Director of External Affairs and Director, Major Gifts and Corporate Sponsorships in designing and executing donor touring packages that include, but not limited to: donor communications, budget, travel itinerary, airfare, ground transportation, event tickets, donor experiences, etc.
     
  • Fulfill Corporate Contracts
    -Under the guidance of the Director, Major Gifts and Corporate Sponsorships, ensure contractual obligations are met for all corporate funders. Benefits include: complimentary tickets, naming recognition, signage, and events.
    - Support Corporate Industry Nights by executing outreach strategy and fulfilling performance benefits.
    - Track renewal dates for corporate contracts and work with Director, Major Gifts and Corporate Sponsorships to ensure all contracts are renewed in a timely manner.
    - Implement a cultivation and stewardship plans for current and prospective corporate sponsors, that could include hosting liaisons at performances, invitations to attend in-studio rehearsals, meet/greet artists, attend education and outreach programs, etc.
    - Prepare and submit End-of-Event/Program/Season reports for corporate sponsors; all submissions within three-weeks upon the conclusion of the sponsored activity.
    - Ensure all corporate sponsorships and in-kind donations are appropriately documented in Tessitura with signed contracts and accurate forecasts are reflected.
     
  • Support of Monthly Board Reports.
     
  • Other duties, as assigned.
     

Qualifications: 

  • A minimum of three years’ experience with successful event management.
  • Four-year college degree in Events Management or related field or equivalent experience
  • Valid driver’s license and a vehicle available for business travel
  • Analytical comprehension and attention to detail
  • Project management and organization skills
  • Strong interpersonal skills and the ability to multi-task
  • Knowledge of ballet and the arts, very helpful
  • Entrepreneurial spirit for discovery of new practices

  • The ability to work evenings and weekends when Ballet West performs or has events.
